Galway Lawn Tennis Club operates gltc.ie and may operate other websites. It is Galway Lawn Tennis Club’s policy to respect your privacy regarding any information we may collect while operating our websites.

Website Visitors

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Galway Lawn Tennis Club collects personal data via our “New Membership Application Form” and via our “Membership Renewal Application Form” which is necessary to process your membership application with the Galway Lawn Tennis Club. The data that you provide via these contact forms is only used for the purposes that you have provided it for – personal contact information used to contact you about your membership, and only for that reason, medical information and emergency contact information which would only be used in the case of a medical or other emergency and other details that are relevant to process your membership application.

eCommerce Transaction Information

When you make a transaction within our website (for example, booking a membership type, booking a coaching session, entering a tournament, etc.), you are required to share some personal data like your name, email address and billing address. This information is used only for the purpose that you have provided it – to help us process your booking order and to contact you only in the event of a problem processing your order.

Email Requests

If you send us an email that requires the storage of your email address, or any other personal information provided, we may do so – only for the purpose of processing your inquiry (for example, if you contact one of our coaches about booking a place on one of our Junior coaching programmes, the coach may store your contact details in order to contact you to process your query). Storage of this type of personal data is only for the purposes of the original inquiry and will be discarded confidentially afterwards, when no longer required for the processing of the inquiry.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Who we share your data with

Contact Forms

The personal data that you provide with your membership application via this website is shared with the Galway Lawn Tennis Club administration team, who use the data to process your membership and store some of this information in their internal software that is used to create a keyfob for your access to the Club’s facilities. The management team also have access to the data provided in your application if necessary. You may receive some correspondence from the management team with information that is relevant to your membership from time to time. All memberships are approved by the Board of Directors, who may request access to some of this data if necessary to approve your membership application.

eBooking Online

Some of the personal data that you provide with Galway Lawn Tennis Club via the membership application forms are used to create an account with Galway Lawn Tennis Club’s eBooking Online software account. This information is used only to create an account that you will be provided access to, which will enable you to use our court booking system.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.
